Job description

You will be supporting the Sustainable Energy Technical Assistance Facility team in all tasks related to the management and administration of the project. You will be required to demonstrate a combination of discipline, flexibility, and precision in all tasks.

What you’ll be doing:

  • Support the Project Coordinator and the Project Manager in implementing all project activities;
  • Process and follow-up on experts’ invoices and reviews experts’ timesheets and expense reports;
  • Manage the logistics of meetings, conferences, trainings, and other project-related events;
  • Follow up progress of the different project activities;
  • Manage large number of documents and data and maintain dashboards continuously up to date;
  • Identify and recruit experts and prepare contracts accordingly;
  • Attend project meetings and prepare minutes;
  • Format reports and presentations to ensure professional lay-out and compliance with EU visibility guidelines;
  • Liaise with the client, experts and partners on day-to-day implementation of project activities;
  • Perform other duties as determined by the Project Coordinator and Project Manager.

Requested profile

Applicants should as a minimum have the following qualifications and skills:

  • Relevant university background;
  • Minimum of 2 years of professional experience, out of which at least 1 year in the administration and management of EU-funded contracts;
  • IT-skills: advanced use of MS Office, in particular Excel, Word and PPT;
  • Use of In-design, illustrator or PowerBI would be considered an advantage;
  • Rigorous, accuracy and attention to detail;
  • Creative, communicative, open-minded and results-oriented;
  • Languages: solid written and spoken English and French; any other EU language would be considered as an asset;
  • Work ethics, dynamism and ability to cope with multiple tasks.

The position will be based in the project office in Brussels (EU area) with at least 1 day/week in our office in La Hulpe, Belgium. The position will start in January 2020.
