The GIZ Branch Office in Brussels has currently approx. 30 staff, the majority of whom is working in the acquisition and implementation of EC funded projects.

We are currently looking for an Administrative/Procurement Assistant (m/f/d) to start as soon as possible in the Brussels office. GIZ offers a Belgian employment contract (full time).

Tasks:

  • Procurement and administrative support for local projects under the ERAMUS+ programme as well as for other projects
  • Communication with experts and companies for the contract preparation
  • Preparation of the internal contract documentation
  • Conclusion of contracts with experts and companies
  • Verification of invoices (before and after invoice submissions)
  • Communicate payment status and information to the participants, experts and companies
  • Collect information and coordinate dates for the flight booking
  • Verification of hotel offers and confirmations
  • Document filing according to GIZ standards

Your profile:

Qualifications:

  • Completed secondary school;
  • Secretarial/administrative assistant experience;
  • Experience in the preparation of contracts;
  • Experience in the field of technical assistance projects and event management will be considered an asset.

Languages:

  • Fluent spoken and written English;
  • Knowledge of French and/or German will be considered as an asset.

Other competences:     

  • Full IT proficiency (all current MS Office applications);
  • Able to work with precision and attention to detail; focused attention even under high time pressure or workload;
  • Problem-solving minded and with a service-oriented attitude, excellent communication skills;
  • Able to work autonomously and pro-actively;
  • Demonstrated intercultural skills, keen on working in a dynamic international team.

  • The position requires a work permit for Belgium, as the location of the work will be Brussels.
