Job Description (Roles and Responsibilities)

The British Diplomatic Missions in Brussels are part of a world-wide network, representing British political, economic and consular interests overseas, and are now recruiting a Communications & Events Intern in Scotland House Brussels.

The Scottish Government EU Office is offering a Communications & Events Internship which will provide an opportunity to gain professional experience in Brussels, working for 12 months across a range of cultural & policy events, communications and administrative tasks.

Main Duties and Responsibilities:

  • Work with the Communications Manager to deliver the Scotland House Brussels communications strategy, manage day-to-day communications activities, including social media (Twitter), event invitations, newsletters, websites;
  • Support the Communications team in liaising between central Scottish Government communications teams and Brussels-based desk officers, as well as coordinating with other Scottish Government offices abroad on both communications and events;
  • Work with the Events Manager to organise key cultural diplomacy events around Scotland’s Winter Festivals, as well as other policy and cultural events, including liaising with external partners and suppliers;
  • Assist in the coordination and delivery of programmes for Ministerial and senior official visits (physical and virtual) to Brussels, including on programme and logistics;
  • Maintain the office’s contacts database;
  • Liaise with communications and marketing colleagues around campaigns and projects such as the annual printed calendar, conference centre exhibitions and production of marketing materials;
  • Provide administrative support on a range of corporate tasks including events budget monitoring, occasional reception desk duties, stock orders, travel arrangements, etc.

Essential qualifications, skills and experience

  • Fluency in English (both oral and written)*;
  • Relevant academic/work/voluntary experience in events, communications, social media and marketing;
  • Excellent organisational skills and attention to detail;
  • Excellent written and communications skills including ability to draft high quality content;
  • Strong interpersonal team working skills, and the ability to develop and maintain strong working relationships across a variety of internal and external partners and stakeholders;
  • Ability to prioritise workload effectively and deliver to tight deadlines;
  • Flexibility and the ability to respond quickly to the needs of the wider team, including deployment onto new tasks at short notice;
  • Good knowledge of Microsoft Word, Excel, Outlook and PowerPoint.

Desirable qualifications, skills and experience

  • Ability to effectively communicate in French (both oral and written);
  • Familiarity using social media (Twitter) and simple graphic design tools, such as Canvas;
  • Understanding of EU Institutions and processes and knowledge of Scottish affairs is an asset.

This is a full-time professional immersion traineeship with the duration of 12 months, for 36.25 hours net for 5 working days a week.

The professional immersion indemnity for this position is €1.300/month.

Interns have access to 1 day of paid annual leave and 1 day of unpaid leave per month of internship.

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidate will be subject to professional background checks and security clearance.

Visa/work permit requirements: candidates must currently hold the independent right to live and work in Belgium and be prepared to ensure that right remains throughout the scope of the contract.

Professional Immersion Traineeship Requirements:

  • Be a minimum of 18 years old;
  • Proof of valid medical coverage for the period of the internship (UK Global Health Insurance Card (GHIC), or a valid UK European Health Insurance Card (EHIC) https://www.gov.uk/global-health-insurance-card OR equivalent medical coverage);
  • The successful candidates will be subject to professional background checks and security clearance and the post is offered on condition of the adequacy of these checks and security clearance;
  • Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.
